Toggle ItemStep 1: Request a workbook from your coordinator
You must get your coordinator to share a new workbook with you for each event!

Toggle ItemStep 2: Fill out the workbook completely and review with your coordinator
Make sure you fill out as much information as possible, starting with the Master Tab! We will go through the workbook with you, but it is better if the info is already in there! This includes things like captions for posts, links to pictures/videos, etc.
Once you have completed filling out the workbook, please share it (with edit access) with all of the Marketing Employees emails and CC your coordinator. Any email communication with the Marketing Employees needs to have your area coordinator included so they are aware of how projects are progressing.

Toggle ItemStep 3: Have your coordinator digitally sign the completed Master Tab, Social Media page, and Website page before your initial consultation
Your coordinator must digitally sign the Master Tab, Social Media page, and Website page prior to your initial consultation with the Advertising Consultants! Make sure you have shared the signed workbook with the byusamedia@byu.edu email. Each page needs to be digitally signed by coordinator.
Once these pages are signed, set up your initial consultation by emailing byusamedia@byu.edu or drop by the Marketing Area. During your initial consultation, advertising consultants will review the workbook and set up any additional consultations as necessary.

Toggle ItemStep 4: After your initial consultation, get other workbook pages digitally signed and approved by coordinator before your other consultations
After your initial consultation have your coordinator digitally sign the design, photo, and video workbook pages the ad consultant reviewed.
Make sure that your coordinator reviews these pages carefully before signing; changes to design notes and print quantities are difficult to accommodate after you have met with the Marketing Employees.
*These workbook pages must be digitally signed before your consultations with our graphic designers and photographers.

Give us time to complete your designs, but email us to stay updated and feel free to ask questions.
You will receive an email when print material is ready for pickup. Social media will be posted as scheduled.

No! You need to get a new copy of the workbook from your coordinator for every event because we update the workbook and need to make sure projects are approved.

Toggle ItemHow far in advance do I need to come to meet about advertising for my event?
You will select what "package" you want in the workbook. The earlier you come the more print material you can get. We need ample time to design and print before your advertising goes up for your event.
*Advertising should be posted for about 2 weeks before an event.

Yes! Before you meet with our designers, it is important that you have an idea for the theme or vibe of the advertising.

Toggle ItemCan I just send a completed workbook to the email and meet with a graphic designer/photographer/videographer without an initial consultation?
No. To ensure we fully understand your project, please meet with an ad consultant to go over your workbook prior to meeting with any other member of the media hub.

No. Design projects are assigned based on current designer workload, therefore your project will be completed by the most available designer.
